Primary Purpose:
Organize and manage the routine work activities of an administrative department office and provide clerical services to the department head(s) and other staff members.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Proficient in the use of a computer and various software programs, i.e.: Excel, Word, Google based programs
Strong organizational skills
Effective communication and interpersonal skills
Ability to prioritize workflow to address the multiple needs of the supervisor or the department
Ability to multi-task numerous complex administrative activities
Basic math skills
Ability to work independently and use sound judgment
Understanding of budget codes and budgeting procedures
Working knowledge of Skyward software
Experience:
Four years secretarial experience, preferably in a public education environment
Major Responsibilities and Duties:
Records, Reports and Correspondence
- Prepare correspondence, forms, reports, etc., for the department head and other department staff members using personal computer.
- Compile, maintain, and file all reports, records, and other documents as required.
- Maintain physical and computerized departmental files.
Accounting
- Make travel arrangements for department staff and for teachers under their advisement, if applicable.
- Prepare and process department purchase orders and payment authorizations.
- Order and maintain inventory of office supplies and equipment.
- Perform routine bookkeeping tasks and maintain department budget records.
- Monitor leave requests and reports and submit to Director for review and approval
- Aid employees within the department with regards to appropriate time-keeping processes and procedures
Reception
- Greet visitors and respond to routine inquiries from staff and the public.
- Answer incoming calls, take reliable messages, and route to appropriate staff.
- Promote good will and effective public relations
Other
- Maintain schedule of appointments for department staff
- Receive, sort, and distribute mail and other documents to department staff.
- Make meeting arrangements for department activities including preparing materials, scheduling and setting up facilities, and arranging equipment
- Follow district safety protocols and emergency procedures.
- Maintain confidentiality of information.

Working Conditions:
Work with frequent interruptions; maintain emotional control under stress. Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting. Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching. Occasional light lifting and carrying (less than 15 pounds). May work prolonged or irregular hours; occasional districtwide travel
